Waivers

An organization can keep a library of documents — a liability waiver, terms and conditions, a photo release, a code of conduct, whatever your league needs signed — and attach any of them to a season or a tournament. Everyone who registers has to sign every attached document, one at a time, before they can finish registering and pay.

Organization admins. There’s no document at all until you add one — it’s entirely opt-in, and nothing is attached to any season or tournament until you attach it.

  1. Open Organization → Registration → Waivers in the admin sidebar (or click Open on the Organizations list, then Registration, then the Waivers tab).
  2. Click New waiver and give it a short name (e.g. “Liability waiver”, “Photo release”). Write the body in the Markdown editor — headings, bold, and paragraphs all work, and it renders exactly the way registrants will see it.
  3. Optionally mark it as a default for one or more sports — the next time you create a season or tournament for that sport, the document is pre-attached automatically (you can still un-attach it there).
  4. Click Save. The document now appears in your library, unattached to anything, until you pick it up on a season or tournament page.
  5. Open the Registration tab on any season (or the tournament’s own admin page) and find the Waivers card. Check the box next to any library document to attach it — the card shows how many of the season’s current registrants have signed it so far.
  6. If you edit a document’s body later, saving creates a new version. Anyone who already signed keeps the exact text they agreed to on record — they’re never asked to re-sign retroactively — but from that point on, anyone signing (in that season, that tournament, or any other context the document is attached to) signs the new text.
  7. Open a document’s Signatures view to see who’s signed it, in which season or tournament, and at which version. Export CSV downloads the same list.
  8. When a document is no longer needed, Archive it — it disappears from every “attach” picker but stays fully readable in its Signatures history. Delete only appears once nothing has ever signed it; once even one person has signed, Archive is the only way to retire it.
  • A document is attached per context, not per organization. Attach the same liability waiver to three seasons and a tournament, and a player active in all four signs it four times — once per context, even though the wording is identical. This is deliberate: a signature for one season’s play doesn’t establish consent for another season or a tournament.
  • Attaching a document after registration has already opened never blocks anyone already registered. It only applies going forward to new registrants; people who registered before you attached it see a one-time reminder on their dashboard instead, and the Registrations table on the season/tournament page shows you at a glance who’s still outstanding (a green pill when everyone’s signed, amber otherwise).
  • Signing is per document, not per bundle. If a season has two attached documents, a registrant signs each one separately — you’ll see two entries on their evidence trail, not one.
  • Coverage is limited to people who register themselves, or are drafted/assigned into a team by a captain or admin — every rostered player owes their own signature, whether they signed up directly or were added later. A captain’s own signature only covers the captain, not the roster.
  • Events don’t have a waivers step — only seasons and tournaments.
