Waitlists
When a season’s team or free-agent cap fills up, registration doesn’t just stop — captains and free agents can join a waitlist instead, and you promote them one click at a time when a spot opens.
Who can do this
Section titled “Who can do this”Organization admins, and league admins for teams/registrants in their own league(s) — the same access as the Registrations panel.
- Open the season and go to the Registration tab. If anyone is waiting, a Waitlist panel appears below the Registrations panel showing two queues — Captains and Free agents — each in the order people joined.
- Each row shows their position, name (and proposed team name, for a waitlisted captain), and the date they joined.
- Click Promote on a row. You’ll be asked to confirm — promoting assigns them a spot right away.
- A free agent joins the free-agent pool exactly like a fresh registration — their fee becomes owed, and drafting/recruiting work the same as for anyone else.
- A captain gets their team created now, with the same invites they set up when they joined the waitlist sent out for the first time.
- The person gets a notification and email the moment you promote them — “You’re off the waitlist!”
Good to know
Section titled “Good to know”- A season only shows the waitlist option once its cap is actually full — registering while there’s room never waitlists anyone by accident, and the waitlist is never something a registrant lands in silently.
- Waitlisted registrations don’t count toward anything: not the season’s cap, not fees owed, not roster minimums. They’re invisible everywhere except the Waitlist panel and that person’s own dashboard.
- Nothing is charged and no team is created until you promote someone. A waitlisted captain’s whole team setup (team name, invite list) is saved and replayed automatically the moment you click Promote.
- Promoting can fail with “still full” if the cap filled again right before you clicked — refresh the panel and try the next person in line.
- There’s currently no self-service way for a waitlisted player to withdraw themselves, and no admin button to remove a waitlisted row either — this is a known gap, not by design. If someone no longer wants their spot, just don’t promote them.
- The public registration page never hides a full season — it shows a Waitlist open badge instead, so people can still find and join it.
- Promotion is manual only — there’s no auto-promote when a spot opens. You’ll get a notification nudging you to check the panel when a withdrawal frees one up.
